Keep our installations organized and our customers informed

Are you the person who keeps schedules on track, catches the details, and makes sure everyone knows what comes next? At East Coast Heating and AC, we’re looking for a Residential Retrofit Installation Coordinator who takes pride in helping customers and supporting a team.

You’ll be the central point of coordination for our residential replacement and installation projects, from a customer’s first appointment with a Project Manager through installation and final paperwork. Your organization, communication, and follow-through will help our field team arrive prepared and our customers feel confident throughout the process.

The role

This is a hands-on coordination role with a mix of scheduling, customer communication, and administrative work. You’ll work closely with our installation technicians, Retrofit Manager, Retrofit Field Manager, Project Managers, and Warehouse Team to keep projects moving.

Our office is friendly and collaborative, and the pace can be busy, especially during peak season. You’ll do well here if you can adjust priorities, communicate changes clearly, and ask for help before a small issue becomes a bigger one.

What you’ll do

· Keep customers informed: Communicate by phone, text, and email before, during, and after installation. Answer questions, share updates, and connect customers with the right team member when needed.

· Manage schedules: Coordinate installation appointments and technician schedules in ServiceTitan, along with initial site visits for our Project Manager.

· Keep the team connected: Make sure office staff, field leaders, technicians, and the warehouse team have current job information and know about schedule changes.

· Coordinate financing paperwork: Assist customers with the financing process, from the initial application through final paperwork and payment submission after installation.

· Maintain accurate job records: Set up jobs in ServiceTitan, prepare invoices, close out completed work, and occasionally process payments in ServiceTitan.

· Handle rebates and permits: Complete paperwork for applicable rebate programs and process municipal permits for residential and commercial installations.

· Support your teammates: Pitch in when priorities shift and help the department deliver a smooth customer experience.

What you’ll bring

· Organization and ownership: You can manage multiple schedules, deadlines, and details, and you follow through on what you say you’ll do.

· Clear, professional communication: You’re comfortable working with customers, coworkers, managers, and vendors by phone, email, and text.

· A practical approach to problem-solving: You stay focused on next steps, flag concerns early, and take responsibility when something needs correcting.

· Independence and teamwork: You take initiative while knowing when to ask questions or bring others into the conversation.

· Relevant experience: One to three years of HVAC coordination or customer service experience is preferred, but not required. Experience managing schedules, supporting customers, or coordinating work in another busy service environment is also welcome.

· Comfort with technology: Familiarity with ServiceTitan and On Call Air is helpful, but not required.

What you can expect from us

We believe accountability works best when it comes with support. You can expect clear direction, fair and consistent treatment, constructive feedback, and a leader who provides the tools, information, and time you need to succeed.

We value people who ask questions, keep learning, support their coworkers, and take pride in doing the job well. Your contributions will be recognized, and you’ll play an important role in the success of our installation team.

Compensation and benefits

Estimated total annual compensation is $62,000–$74,000, including hourly wages, overtime pay, up to an 8% annual bonus, and a summertime spiff bonus. This range represents combined compensation, not base hourly wages alone.

We also offer a $10,000 sign-on bonus, in addition to the annual compensation range above. The bonus is paid in four equal installments of $2,500 on Day 1, Day 30, Day 60, and Day 90.

Our benefits include:

· 401(k) with company matching

· Health insurance

· Dental insurance

· Life insurance

· Paid time off

· Employee referral program
