Office Operations & Inside Sales Coordinator

Location: Wheaton / West Chicago, IL Company: OneStop Pro Plumbing, Heating, Cooling & Electric

Role Overview

This role serves as the central hub for OneStop Pro’s growth and operational efficiency. You will manage the pulse of the office, turning historical data into revenue while ensuring field operations run seamlessly. You will leverage latest methods with ai to automate repetitive data tasks, allowing you to focus on high-value coordination, proactive sales, and marketing administration.

Core Responsibilities

1. Inside Sales & Pro Plan Growth

Proactive Pitching: Call existing customers to pitch and sell our "Pro Plan" maintenance agreements.
Data Mining: Use Housecall Pro (HCP) to identify aging equipment and initiate outbound sales campaigns for services like $99 Sewer Scopes and AC tune-ups.
Technical Gatekeeping: Use trade literacy to ensure the right technician is dispatched for the right sales opportunity.

2. Dispatch, Service & Pro Plan Maintenance

Schedule Management: Oversee the scheduling for all customers, including specific coordination for Pro Plan members.
Quality Assurance: Ensure the proper completion of all service visits to maintain our high standards.
Dispatch Mastery: Optimize technician routes and real-time schedules within scheduling software.

3. Marketing & Content Administration

Email & Direct Mail: Schedule and execute outbound blast marketing emails and postcard campaigns.
Content Pipeline: Manage the content workflow by scheduling videos and delivering raw content to editors.
Reputation Management: Drive and manage the review follow-up process to maintain our online reputation.

4. Logistics & Operations

Material Management: Oversee the lifecycle of parts—ordering equipment for upcoming installs and managing returns of unused materials.
Permit Coordination: Research and obtain necessary municipal permits for plumbing, electrical, and HVAC projects.
Inventory Oversight: Minimize "supply house runs" by ensuring technicians have required materials before heading to jobs.

5. AI & Automation Integration

AI Power-User: "Stick ai in" to automate permit applications, facilitate material ordering, and summarize complex project requirements.
Data Efficiency: Leverage AI and HCP data for reporting and KPI tracking, eliminating the need for manual spreadsheet manipulation.

Requirements & Qualifications

Trade Literacy: Familiarity with plumbing, HVAC, and electrical components (e.g., tankless heaters, load centers).
Tech-Forward Mindset: Highly proficient in software implementation for automation.
Sales & Coordination Skills: Comfortable with outbound calling and managing complex logistical moving parts.
Local Focus: Must be based in or near the Wheaton/West Chicago area.
