Position Summary

We are looking for a Scheduling Coordinator to support our office team and help keep our service operations running smoothly. This role focuses on answering inbound calls, some outbound (no cold calls), assisting customers with scheduling, and helping our team stay organized throughout the day.

You don’t need HVAC experience — we’ll train you. If you enjoy helping people, staying organized, and working in a fast‑paced environment, this is a great place to start and grow.

Essential Functions

Answer inbound customer calls with a friendly, professional attitude
Make some outbound calls to follow up with customers or schedule after-hours calls that may come in— no cold calling
Schedule appointments and enter customer information accurately
Provide basic updates to customers regarding appointment times by keeping track of technicians times at jobsites
Communicate with technicians and office staff to support daily scheduling needs
Maintain organized records of service requests and customer interactions
Assist with simple administrative tasks as needed

Responsibilities

Answer and route phone calls
Schedule and confirm appointments, update customers for early or late technician arrival times
Assist customers with general questions when possible
Perform basic schedule checks to ensure efficiency
Process payments over the phone (training provided)
Support office staff with additional tasks as assigned

Skills

Strong organizational skills and attention to detail
Clear and friendly communication skills
Ability to multitask in a busy environment
Comfort using computers and learning new software
Ability to work independently and as part of a team

Requirements

At least 1 year of customer service, office, or administrative experience preferred
Basic experience with Office Suites (Excel), Outlook and Google Workspace applications
Ability to remain calm and professional during busy or stressful moments
Willingness to learn scheduling software (training provided)
Must be able to pass a background check and drug screen

Experience with Payzerware, ServiceTitan, or dispatching is a plus but not required.
