Duties

Manage daily office operations, including coordinating schedules, overseeing supply inventory, and maintaining a clean, organized workspace
Handle multi-line phone systems with professionalism, ensuring clear communication and prompt responses to inquiries
Support front desk responsibilities such as greeting visitors, answering questions, and directing guests appropriately
Maintain accurate data entry records using productivity software like Microsoft Office and Google Workspace; ensure files are properly organized and up-to-date
Assist with bookkeeping tasks using QuickBooks or similar accounting software; process invoices and track expenses
Provide exceptional customer support via phone, email, or in person; uphold excellent phone etiquette and professionalism at all times
Manage calendar appointments, schedule meetings, and coordinate events while practicing effective time management skills

Requirements

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools
Familiarity with QuickBooks or other bookkeeping software is highly desirable
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Strong communication skills; bilingual abilities are a plus for supporting diverse client needs
Experience with multi-line phone systems, front desk operations, and customer service best practices
Technical proficiency in handling office equipment such as printers, scanners, and phone systems
Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required
Demonstrated ability to proofread documents accurately and maintain high attention to detail
Knowledge of filing systems, calendar management tools, and productivity software to optimize workflow
