Job Overview
Texas Air Doctors is looking for a dependable, detail-oriented Customer Service Representative with HVAC knowledge and ServiceTitan experience to support our daily operations.
This role is primarily focused on customer communication, job coordination, and administrative support, playing a key part in keeping our office and field teams running efficiently. You’ll be responsible for managing customer interactions, maintaining accurate job information in ServiceTitan, and helping ensure every job is properly prepared and executed.
We are also looking for someone who is flexible and team-oriented—willing to step outside of the office when needed to run parts, support technicians, or assist with coordinating installations.
This is a hands-on position for someone who understands the pace of the HVAC industry and takes pride in keeping operations organized and customers taken care of.
Duties & Responsibilities
- Customer Service: Handle inbound and outbound calls with professionalism and efficiency. Schedule service calls, answer customer questions, and provide a high level of care on every interaction.
- ServiceTitan Support: Assist with booking jobs, updating customer profiles, managing work orders, and ensuring accurate documentation within ServiceTitan.
- Operational Support: Work closely with the dispatcher and technicians to keep schedules organized, jobs properly staged, and customers informed.
- Field Assistance (As Needed): Run parts to job sites, assist with job coordination, and help support installations when necessary.
- Job Coordination: Help ensure jobs are prepared ahead of time, including verifying equipment, notes, and customer details.
- Administrative Tasks: Maintain organized records, assist with reporting, and use Microsoft Office tools (including Excel) for tracking and data entry.
- Sales Support: Promote maintenance plans and IAQ products when appropriate to enhance the customer experience.
- Payment Processing: Assist with invoicing, processing payments, and maintaining accurate financial records in ServiceTitan.
Experience & Requirements
- ServiceTitan Mastery (Required): At least 2+ years of professional experience using ServiceTitan. You should be comfortable with the dispatch board, reporting, and mobile-to-office workflows.
- HVAC Industry Knowledge: Previous experience in the HVAC or home services trades is highly preferred.
- Technical Proficiency: Strong computer literacy with specific expertise in Microsoft Excel (data entry, formulas, and organization).
- Strong Communication Skills: Professional, friendly, and confident on the phone and in person.
- Organizational Skills: Able to multitask and stay detail-oriented in a fast-paced environment.
- Team Player: Comfortable collaborating with office staff and field technicians to keep operations running smoothly.
- Field Flexibility: Willing to assist with parts runs and light field support when needed.
- Physical Requirements: Ability to lift and carry up to 75 pounds as needed.
- Technical Skills: Basic proficiency in Microsoft Office; Excel experience is a plus.
- Bilingual (Plus): Spanish-speaking is a bonus but not required.

Pay: $18.00 - $25.00 per hour
