We are looking for a dependable and organized Office Manager to oversee daily office operations, coordinate technician schedules, and help keep our business running efficiently. Job Roles

Answer incoming calls and provide friendly customer support
Schedule service calls and coordinate technician dispatch
Manage customer information and job records in company software (Housecall Pro)
Prepare and send invoices, collect payments, and process office paperwork
Apply for and manage municipal contractor licenses, permits, registrations, and bonds required by cities and villages
Maintain organized office files and customer records
Assist with social media posts and basic online marketing
Promote seasonal HVAC services and specials
Support management and technicians with administrative tasks

What We're Looking For

Strong phone communication and customer service skills
Previous office administration or office management experience preferred
Experience with permits, contractor licensing, or municipal registrations is a plus
Comfortable working with computers and learning new software systems
Organized, dependable, and detail-oriented
Ability to manage multiple tasks in a sometimes fast-paced office environment
