Project Manager Assistant (PMA)
About the Role
SJ & Construction is looking for a hands-on Project Manager Assistant (PMA) to serve as the direct right-hand to our Project Manager. This is a combined office and field role — you'll handle estimating, bid follow-up, job costing, and client communication from the office, while also supporting field operations as Assistant Site Superintendent. ResponsibilitiesA. Project Management Support
- Support the PM through all project phases — pre-construction through closeout.
- Prepare estimates, quantity takeoffs, and bid packages; assist with contracts, subcontracts, POs, and change orders.
- Update Job Costing Reports; enter PO and invoice data and flag cost variances to PM.
- Review subcontractor submittals for conformance; report findings to PM.
- Cover PM communications and site coordination during PM absence.
- Assist with Work Completion Reports to trigger invoicing milestones.
- Attend weekly office team meeting; report project and field status to PM and President.
B. Sales & Business Development
- Respond to client inquiries; prepare and follow up on proposals and bids.
- Maintain bid log — track all open bids, follow-up calls, and close probability.
- Report bid status and pipeline updates to President and PM at weekly Monday meeting.
C. Field & Project Support
- Assist Site Superintendent in daily field operations; cover all Superintendent duties when absent.
- Review blueprints and specs daily; identify and report RFIs to PM immediately — do not allow work to proceed on unresolved conflicts.
- Direct field crew and subcontractors; enforce work quality, schedule, and safety standards.
- Coordinate material and equipment deliveries; confirm receipt and forward packing slips to Purchasing.
- Submit Daily Work Report (headcount, tasks, issues) to PM by 5:00 PM each working day.
- Conduct QC inspections at key milestones; document non-conformances and report to PM.
- Prepare punch list at project completion; coordinate client walkthrough with PM.
Qualifications
- 2+ years of experience in site management or a comparable field role.
- Able to read and interpret blueprints, drawings, and specifications.
- Strong working knowledge of construction methods, materials, and trades.
- OSHA 30-Hour certification required.
- Strong math skills; able to calculate quantities and material needs.
- Strong leadership and problem-solving skills; comfortable with MS Office.
- Bilingual (English/Spanish or English/Korean) a plus, but not required.
Pay: $40,000.00 - $60,000.00 per year
