Position Overview
We are seeking a highly organized, detail-oriented professional to serve in a hybrid role combining administrative coordination and construction project support.
This position is ideal for someone who:
- Has experience in construction administration or coordination
- Thrives in an organized, fast-moving environment
- Can support project execution while managing day-to-day administrative workflows
You will work closely with ownership and our Director of Operations, helping ensure that projects stay organized, communication flows effectively, and tasks are executed efficiently.
Key Responsibilities
Administrative & Operational Support
- Maintain organized project files, documentation, and correspondence
- Track contracts, permits, invoices, and project-related documents
- Coordinate scheduling (inspections, subcontractors, deliveries, meetings)
- Assist with vendor and subcontractor communication
- Manage emails, follow-ups, and task tracking across multiple stakeholders
- Support internal systems, processes, and workflow organization
Project Coordination & Support
- Assist in managing construction project timelines and task tracking
- Help coordinate subcontractors and ensure alignment with schedules
- Communicate updates between field operations, Director of Operations, and ownership
- Track progress and flag potential delays or issues
- Assist with change orders, selections, and material coordination
- Support quality control processes by helping ensure items are completed and followed up
Communication & Team Coordination
- Serve as a central point of communication between:
- Director of Operations (part-time)
- Ownership team
- Subcontractors and vendors
- Ensure nothing “falls through the cracks”
- Follow up consistently to keep projects moving forward
Required Qualifications
- Minimum 2–5 years experience in:
- Construction administration, OR
- Construction coordination, OR
- Project coordination in a construction-related environment
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- High attention to detail and follow-through
- Ability to manage multiple priorities without constant supervision
- Proficiency with basic office and project tools (Excel, email, document management systems)
Preferred Qualifications (Strongly Valued)
- Experience working in residential construction (Florida preferred)
- Familiarity with permits, inspections, and construction workflows
- Experience with tools such as Buildertrend, Procore, CoConstruct, or similar
- Ability to read or understand basic construction plans (not required, but a plus)
- Experience supporting project managers or superintendents
